About the property

Kaptol Rooms, located in the heart of Zagreb, is part of a company that also manages Zagreb City Center Apartments LUX and the restaurants Kaptolska Klet and Konoba Bracera. In a new phase of its operations, launched in May 2023, the goal was to transition the business toward a modern, self-sustainable model with a focus on self-check-in options for guests and the optimization of daily operations. The current team consists of three employees, with additional support during the high season. While Zagreb's tourism is not as seasonal as the coastal areas, the busiest periods are the summer months, when Zagreb serves as a stopover for travelers heading to and from the coast, and December, during one of Europe's most popular Advent.

Challenges

Before implementing the Rentlio One platform, managing the rooms and apartments was much more demanding and complex. Operations relied on Excel spreadsheets, and guest registrations in eVisitor were done manually—a time-consuming process for both front desk staff and guests. Organizing daily tasks, such as housekeeping and reservation management, required extra effort and increased the risk of human error. This led to the decision to seek a reliable solution to automate and simplify daily tasks.

Solution

A step toward optimizing operations included finding a modern PMS and Channel Manager solution to replace numerous spreadsheets, notebooks, and the manual handling of repetitive tasks. Kaptol Rooms decided to implement Rentlio One, a local solution used by many users in over 40 countries, 2.5 years ago.

This has freed up time for other essential tasks, allowing front desk staff to focus on providing hospitality in the truest sense—offering guests recommendations and upselling opportunities.
  • Flexible Reservation Management: Through the Rentlio One app, all information is centralized, including the Channel Manager integration with Airbnb and Booking.com, where Kaptol Rooms advertises. The mobile app is an additional major advantage, allowing Miran and his colleagues to manage reservations and check-in processes anytime and from any location.
  • Transparent and real-time statistics: Rentlio's statistics provide the Kaptol Rooms team with a simple yet detailed overview, enabling them to track occupancy, revenue, and compare performance with previous periods. The statistics module is crucial for sales and timely adjustments to pricing strategies, leading to increased profits.
  • Great customer support: Rentlio's always available customer support ensures seamless operations. "Customer support is excellent. We receive responses within minutes, which is crucial for our daily operations," Miran noted.
  • Reduced onboarding time for new employees: The Rentlio One platform is simple and user-friendly. Its intuitive interface reduces the onboarding process to just a few hours—a significant benefit in times of labor shortages.
  • Easy offer and invoice management: Personalized invoices elevate the process while sending offers is straightforward and trackable.

Kaptol Rooms has seen increased efficiency and guest satisfaction thanks to the Rentlio One platform. They plan to further enhance their operations by implementing a self-check-in option, freeing even more time to focus on service quality and guest satisfaction.
